Order Terms and Conditions
Effective date: June 11, 2026. These terms apply to Plavidian print, mail, print-and-mail, postage, data processing, production, fulfillment, storage, proofing, and portal services.
1. Customer authority
By submitting a job, the customer represents that it has authority to submit the job, use the uploaded files, use the requested mailing list or data, and authorize Plavidian to perform the requested services.
2. Proof approval
Production does not begin until required artwork, data, job specifications, payment/postage approval, and proof approval are received. Approval authorizes Plavidian to proceed using the approved job record.
3. Customer-supplied content
Customer is responsible for accuracy and legality of all artwork, text, images, QR codes, URLs, indicia, permit marks, disclosures, disclaimers, committee information, and postal information supplied for the job.
4. Turnaround timing
Turnaround begins only after usable files, required job details, proof approval, required data, payment approval, postage approval, and any needed materials have been received by the applicable Plavidian facility cutoff. Orders submitted after cutoff are treated as starting the next business day. Rush work is subject to manual review and Plavidian approval. See turnaround rules.
Cutoff, turnaround, shipping, and in-hands dates
Production turnaround time is the number of business days needed to produce and prepare the job for shipment, pickup, mailing preparation, or USPS induction. It is separate from shipping or carrier transit time. If required files, approvals, payment, postage approval, mailing data, or customer-supplied materials are received after the applicable production cutoff, the estimated production clock starts the next business day. Estimated in-hands dates combine production time with shipping or local delivery time. For mailings, estimated mailing dates and in-home/in-hands dates are planning estimates and do not guarantee USPS delivery timing after acceptance.
Print-only jobs
- Customer is responsible for final artwork, trim size, bleed, safe area, color, paper, quantity, and finishing selections.
- Plavidian may flag obvious file concerns, but customer approval remains authorization to print.
- Color appearance may vary by paper, coating, equipment, source file, lighting, and monitor/device calibration.
- Customer-requested changes after proof approval may require a new estimate and revised schedule.
Print + Mail jobs
- Customer is responsible for both print content and mailing data, including address-list authority, mail-owner information, permit/indicia instructions, nonprofit authorization, and campaign disclosures.
- Final postage, mail class, sortation, entry point, and delivery preparation are based on final list processing, USPS rules, and USPS acceptance.
- Plavidian is not responsible for USPS delivery timing, in-home date, forwarding, returns, or handling after USPS acceptance.
- Postage is non-refundable once submitted, documented, tendered, or inducted.
Mailing, data, and list-processing jobs
- Customer certifies that all uploaded data files, mailing lists, recipient information, seed names, and related materials were lawfully obtained and may be used for the requested production or mailing purpose.
- Customer is responsible for privacy, data protection, campaign, election, consumer-protection, and postal-law compliance.
- Customer agrees not to upload unlawfully obtained data, restricted data, or data prohibited from processing for the requested purpose.
- Plavidian may process data for CASS, NCOA, dedupe, householding, presort, postage documentation, production, fulfillment, reporting, support, and audit records.
Political mail jobs
For political mail, customer certifies that the mailing content, disclaimers, sender identification, committee information, authorization language, targeting, reporting obligations, and any required state or federal campaign disclosures comply with all applicable laws and regulations. Plavidian provides production and mailing services and does not provide legal or campaign-compliance advice.
Postal review and USPS acceptance
USPS mailpiece design, classification, automation qualification, postage, entry, and acceptance are subject to current USPS rules and verification. Plavidian may recommend design changes for automation, tabbing, barcode, address placement, or entry compliance, but USPS acceptance and delivery operations remain outside Plavidian’s control.
Informed Delivery
When customer requests Informed Delivery campaign setup, customer is responsible for brand display name, campaign title, representative image, ride-along image, URL, landing page content, claims, disclosures, and tracking links. USPS campaign approval and display are subject to USPS requirements and timing.
Payment, postage, freight, and third-party costs
Estimates are planning estimates until final counts, materials, production specifications, list processing, postage, entry, shipping, and outside vendor costs are confirmed. Postage, freight, courier, drop shipment, vendor work, storage, and special handling may change based on actual job requirements. Postage advanced or submitted for a job is non-refundable after submission or induction.
Indemnification
Customer agrees to defend, indemnify, and hold harmless Plavidian, its owners, employees, vendors, and service providers from claims, penalties, damages, costs, attorney fees, losses, or liabilities arising from customer-supplied artwork, content, data, lists, permits, instructions, disclosures, rights clearances, campaign compliance, privacy compliance, unlawful use of data, or inaccurate information.
Portal acceptance record
When the customer confirms job submission, the portal may store job ID, customer ID, user ID, terms version, timestamp, IP address, and checkbox confirmations showing acceptance for that job.
